Most "admin portals" manage a third of your system.
With most providers, the portal changes a greeting and not much else — everything real goes through a support ticket. Because Cannon VoIP builds and operates its own platform on its own network, our portal manages the entire system: the phone system, the phones themselves, faxing, texting, the AI receptionist, and your integrations. Change what you want, whenever you want. And when you'd rather we do it, our support team is one call away — self-service is a choice, not a requirement.
Full phone system control
Extensions with a full forwarding matrix (available, busy, DND, offline — each with separate office-hours and after-hours behavior), call queues with seven distribution strategies including sticky routing that remembers a caller's last agent, press-a-key hold-your-place callbacks, auto-attendant menus where every digit has separate day, after-hours, and holiday destinations, voicemail with email delivery and transcription, recordings playable in the browser, and full call analytics — all editable in the portal, all live the moment you save.
Phones that set themselves up
Cannon Certified desk phones provision themselves straight from the portal — shipped zero-touch, they configure out of the box, pull the company directory (which rebuilds itself from your extensions and contacts), set their own clock from the user's time zone, and re-check for changes every few minutes. Eighteen programmable keys per phone handle speed dials and busy-lamp status with call pickup. A change in the portal reaches the desk without anyone visiting it.
AI receptionist, managed by you
Configure your AI receptionist right in the portal: what it says, what it knows about your business, and what it's allowed to do — transfer to extensions, check calendar availability, book appointments, take messages, and text callers back. Every conversation lands with a full transcript and summary. Meet the AI receptionist →
Greetings that record themselves
Every new extension, voicemail box, menu, and queue gets a spoken greeting in a natural voice, written and recorded automatically the moment it's created — and menu greetings re-record themselves when you change what the keys do, so what callers hear always matches what the buttons actually do. Every audio file shows a transcript of what it says; upload your own recording and it's never overwritten.
A real person, when it matters
Live Answering routes the calls nobody picks up to a trained person who answers in your company's name and works through the questions you wrote — with service-area checking, pronunciation guides, and an email the moment the call ends, followed by the recording, summary, and full transcript. Point any line, queue overflow, or after-hours branch at it, just like voicemail.
eFax, built in
Send from the browser (drag in PDFs, Word, Excel, images — up to 30 MB, merged into one fax), by email, or through the fax API; send to up to twenty destinations at once with branded cover pages and scheduling. Inbound faxes arrive as PDFs to up to twenty-five addresses per number, everything stays searchable for twelve months, and real fax machines keep working through supported adapters.
Business texting that scales
Threaded SMS and MMS on your real business numbers: templates one click away, keyword auto-replies (text HOURS, get your hours), scheduled sends, and broadcasts to up to five hundred numbers that pace themselves and skip anyone who opted out. STOP, START, and HELP are always handled automatically, keeping you carrier-compliant without thinking about it.
11 CRM integrations
Connect Zoho CRM, HubSpot, Salesforce, Microsoft Dynamics 365, GoHighLevel, Zendesk, Freshdesk, SugarCRM, Odoo, Housecall Pro, or CallRail yourself, right from the portal — several take just credentials and a few minutes. Completed calls write themselves to the right contact with direction, duration, the recording, and an AI-written summary, and inbound callers are matched to their record so you know who's calling before you answer.
Numbers, porting & branded calling
Order numbers by area code, track port-ins, and point any number at an extension, queue, or menu. Outbound caller ID name changes take effect the moment you save. Dispatchable E911 addresses are validated and registered with the carrier as part of setup — the Kari's Law and RAY BAUM'S Act compliance work, handled for you. Branded calling puts your business name on outbound calls.
A fax API and webhooks for developers
A documented REST API for faxing — send, list, retrieve, download — with scoped, revocable bearer tokens, per-key rate limits and request logs, and interactive docs. Outbound webhooks push completed calls, bookings, messages, inbound texts, and fax events to your own systems as they happen, signed with HMAC-SHA-256 so you can verify they came from us.
What one portal means for your business
Changes in minutes, not tickets
New hire? Add the extension, and their phone configures itself. Holiday hours? Two clicks. You're never waiting on a support queue for something you can do yourself in less time than it takes to describe it.
One login, one bill, one vendor
Phones, fax, texting, AI receptionist, and CRM logging usually means four subscriptions from four companies. Here it's one system, built together, from one provider that owns the network underneath it.
Self-service is optional
The portal is there when you want control. Our real, US-based support team is there when you don't. Most customers use both — and neither costs extra.
See the portal with your own numbers in it.
We'll walk you through a live setup for your business — no contracts, no pressure, $34/extension.
