Phone Systems for Senior Living Communities

Families calling, staff on the move, and a building that needs to hear an announcement.

A senior living community is a home, a care setting and a small business in one building. The front desk takes calls from families asking how Mom is doing, from prospective residents wanting a tour, and from vendors and pharmacies. The nurse on duty is somewhere down a hallway. Activities need announcing, the dining room opens at 11:30, and when someone dials 911 from a resident apartment, the director needs to know right away.

Cannon VoIP ties the building together. Paging groups and scheduled bells handle announcements, 911 calls alert the people you choose with each building's own address, families reach the right wing through a simple menu, and tour requests get booked instead of lost. Flat $34 per extension per month, month to month, with texting and transcription included and no regulatory fees.

Families, tours and the hallway nobody can hear

Calls in senior living come from people who care a lot. Families want to reach a nurse or the wellness director, and a call that rings and rings feels like neglect even when staff are busy with residents. Prospective families are shopping several communities, and the one that books the tour on the first call usually gets the visit.

Inside, staff are rarely at a desk. Caregivers, nurses and maintenance move all day, and the community still needs to announce meals, activities, a fire drill or severe weather to everyone at once. Old phone systems and copper lines that ran elevator phones and alarm panels are being retired, and they need a plan too.

What we set up for senior living communities

Paging and announcements
Paging groups by wing or floor, an All Call for the whole building, and typed messages from the portal spoken over a group or the whole building. Emergency pages break through Do Not Disturb and are logged.
Bells for the daily rhythm
Schedule meal chimes, activity reminders and shift-change bells by time and day, with spoken words after the bell if you like.
911 alerts and building addresses
Each building can be a 911 site with its own address, and desk phones send their building's address. When anyone dials 911, the people you choose get a portal notice, email, text or phone call, then a follow-up.
Severe weather on every phone
The Weather page tracks National Weather Service warnings for your address. Warnings reach staff apps and desk phones, and the most serious ones, like a tornado warning, can be read aloud over a paging group.
Family calls to the right wing
A menu sends families to nursing, memory care, the business office or a resident services desk. Calls ring a ring group, not one person, and roll to a shared voicemail box if nobody is free.
Tours booked on the first call
The AI receptionist answers questions from facts you give it and books tours mid-call from open times. The built-in CRM tracks each prospective family on a pipeline from inquiry to move-in.
Phones that move with staff
Nurses and caregivers use the mobile app or a wireless desk phone as their extension, and intercom with *80 reaches a single desk. Hot desking lets a shared phone ring as whoever is on shift.
HIPAA mode and a BAA
HIPAA mode keeps resident details out of notifications and outside CRMs, logs who opened each recording, voicemail or fax, and can switch off AI processing. A Business Associate Agreement is available.

Why communities switch to Cannon VoIP

$34 per extension per month, all-in, month to month, with texting and transcription included. A community can put extensions where staff work and share the rest through ring groups and paging, and volume discounts start automatically at 25 extensions.

Older copper lines for elevators, fire panels and alarms are a real project. We help communities plan POTS replacement for alarms and elevators alongside the phone system, and 911 alerts can include outside contacts like your alarm company.

HIPAA mode and a Business Associate Agreement are available for communities that handle health information. They support your privacy program; the phone system does not make a community HIPAA compliant by itself. See our security and compliance overview.

What a typical setup looks like

A community usually runs extensions for the front desk, nursing station, memory care, the executive director, marketing and maintenance, plus app extensions for nurses on the floor, all at $34 each. The main menu offers families, tours, the business office and maintenance, and the tour option goes to the marketing director or the AI receptionist.

Paging groups cover each wing, bells handle meals and activities, and 911 alerts go to the director and nurse on duty. Communities within about an hour and a half of DFW Airport get free on-site installation, and we support communities nationwide.

Common questions from senior living communities

Can the AI receptionist handle a call about a resident's health?
No. AI features are not for medical questions or emergencies. Calls about a resident go to nursing staff through the menu, and emergencies go to people or 911. The AI receptionist is best for tours, hours and directions.
Who finds out when someone dials 911 from the building?
Whoever you choose: the director, the nurse on duty, maintenance, even an outside alarm company. Alerts go by portal notice, email, text or a phone call that reads the alert aloud, followed by how long the call lasted. Read about 911 rules for businesses.
Can we page from a desk phone and from the office computer?
Yes. Put a paging group on a desk phone key for one-touch paging, or type a message in the portal and have it spoken over a group or the whole building, with a bell in front to get attention.

Set your 911 alert list before go-live and include the person on duty at night, not only the director. Then dial 933 from a phone in each building to hear the callback number and address dispatch would see.
