VoIP stands for Voice over Internet Protocol. Instead of sending your voice down a dedicated copper phone line, a VoIP system turns it into data packets and sends it over the internet connection you already have, the same way email or a video stream travels. At the other end, the packets become audio again. To the people talking, it is just a phone call.
What actually changes for a business
Because calls are data, the "phone system" stops being a box on the wall and becomes software. Numbers are not tied to a physical wire, so the same extension can ring a desk phone, a laptop, and a cell app at once. Features that used to require expensive hardware, such as auto attendants, call queues, voicemail transcription, and call recording, become standard software features.
It is also why pricing changes shape. Traditional lines are billed per copper pair plus long-distance and surcharges; VoIP is typically billed per user, with the features that used to be add-ons included. When comparing, the honest number is all-in monthly cost per person, fees included.
What you need to run it
A reliable internet connection and about 100 kbps of bandwidth per simultaneous call, which is a rounding error on any modern business connection. Quality depends less on raw speed and more on latency, jitter, and packet loss, which we cover in what makes VoIP call quality good or bad. You can use dedicated desk phones, a computer, or a mobile app, and about 85% of existing VoIP desk phones can be brought over as-is.
Do you lose your phone number?
No. Existing numbers move to a VoIP provider through a regulated process called number porting. Your published number stays the same; only the system behind it changes.
How a call actually travels
When you dial, your phone or app uses SIP (Session Initiation Protocol) to tell the provider's switch who you are calling; the switch locates the destination and both ends agree on a codec, the compression format that turns voice into data. From there your voice is chopped into packets, each around 20 milliseconds of audio, sent across the internet, reassembled in order, and played out the far end, all in a fraction of a second. When the far end is a traditional landline or cell phone, the provider hands the call to the public phone network on your behalf; the other party never knows or cares how your half of the call traveled.
This is also where provider quality quietly lives. A facility-based carrier routes your packets through infrastructure it controls; a reseller hands them to someone else's platform and hopes. Our network page explains the difference in plain terms.
Three myths worth retiring
- "VoIP sounds worse." Backwards, usually: landlines are capped at narrow-band audio, while VoIP codecs carry wideband "HD voice" that sounds noticeably fuller. Bad VoIP sound is a network problem, not a technology ceiling; see our guide to call quality.

- "You need special internet." A call uses about 100 kbps. Any working business connection has the bandwidth; what matters is congestion management, which is configuration, not a new circuit.
The honest cost comparison
Traditional service prices by line and adds long-distance, taxes, and surcharges that grow the bill 20 to 40 percent past the advertised rate. VoIP prices by user, and the feature list that used to be a hardware invoice, auto attendant, voicemail-to-email, call recording, conferencing, comes standard. The comparison worth making is all-in monthly cost per person, including the fees, and any quote that will not commit to that number in writing is telling you something.
Short version: VoIP is regular phone calls carried over the internet, which turns your phone system into flexible software instead of fixed wiring.
